Reclaiming unused software licenses from inactive contractors or offboarded employees in the Google Admin Console requires clicking through individual user billing panels. SheetOps enables Google Workspace IT managers to bulk remove and revoke subscription licenses directly from Google Sheets to immediately optimize SaaS licensing spend.

Understanding License Revocation vs. Account Deletion

Revoking a user license frees up a paid subscription seat without destroying the underlying Google Workspace user profile:

  • Preserves User Data: Removing a license leaves user Drive files, email archives, and group memberships intact while suspending active app access until a new SKU is attached.
  • Seat Reclamation: The vacated license is immediately returned to your organization's pool of available seats for reallocation.
  • Cost Reduction: Rightsizing unused licenses prevents paying for idle enterprise subscriptions.

SheetOps executes license removals via the Enterprise License Manager API's delete endpoint whenever a row's status is updated to Removed.

How to Bulk Remove Google Workspace Licenses in Google Sheets

1. Export Licensed User Roster or Load Blank Template

In Google Sheets, go to ExtensionsSheetOpsLicenses:

  • Fetch with Filters: Export users assigned to a specific SKU (e.g., Google Workspace Enterprise Plus or Business Standard).
  • Just the Sheet: Create a blank template. Paste user email addresses into the Email column and select their assigned License SKU.

2. Set Row Status to Removed

In the Status column:

  • Change the status dropdown value from Active to Removed.
  • Drag the fill handle down to mark all target users for license revocation.
  • Modified cells immediately highlight in pastel yellow for visual confirmation.

3. Mass-Selecting License Revocation Rows

Select the checkboxes in the Apply Changes column for the users whose licenses should be revoked. Click and drag across the range or press Spacebar.

4. Verifying Removal Results in the Live Change Log

SheetOps calls the Enterprise License Manager API's delete endpoint to unassign the SKUs:

  • Successfully unassigned rows clear their yellow backgrounds.
  • The Change log column displays real-time execution feedback:
    • ✓ Removed on success.
    • ✗ Error: User does not hold this license if the SKU assignment is missing.

License Rightsizing & Cost Optimization Tips

  • Contractor Offboarding: When temporary contracts end, filter users by department OU, set their status to Removed, and reclaim paid enterprise licenses without deleting user accounts.
  • Dormant Account Audits: Export all user accounts via UsersFetch with Filters with Suspended status, then remove their paid licenses in the Licenses module to stop paying for inactive seats.
  • Downgrading to Cloud Identity Free: If offboarded users require SSO or password management retention, revoke their Google Workspace license and assign a free Cloud Identity Free license instead.

Frequently Asked Questions (FAQ)

Does removing a license delete the user's Google Drive files or Gmail messages?

No. Revoking a license does not delete the user account or files. Google retains the mailbox data, but the user cannot sign in to Google Workspace services until a valid license is reassigned.

Can I reassign a removed license to a different employee immediately?

Yes. The moment SheetOps reports ✓ Removed in the Change log, the license seat is immediately returned to your available license pool and can be assigned to another user right away.

Can I remove licenses for multiple products in the same spreadsheet?

Yes. As long as each row lists the user's Email and correct License SKU name, SheetOps will unassign the corresponding product license.
